Conference Terms and Conditions.
I. Scope
The following terms and conditions apply, starting from the moment of registration, to all persons (including, but not limited to, Chair, Observer, Delegate, Faculty Advisor, or any other staff member) who wish to partake in the Freiburg Model United Nations Conference 2024 (from now on referred to as the Conference), organized by the Freiburger Initiative Model United Nations e.V. (from now on referred to as FREIMUN e.V.). The registration is deemed accepted as soon as the online registration is completed including the payment of the participation fee has been made and has been credited to the recipient’s account. FREIMUN e.V. has the right to reject applications up to four weeks after registration.
II. Participant duties
All applicants to the conference commit to:
Provide correct and complete information about their person, ensuring that:
The Applicant is not currently sought after in any nation due to criminal charges.
The Applicant is at least 18 years of age on July 25th 2024. Any applicant who is younger than 18 years of age on July 25th 2024 (such individuals will be referred to as a child), must obtain the approval of their parent(s) or legal guardian(s). The parent(s) or legal guardian(s) of any child remain fully responsible for the child for the duration of the conference. FREIMUN e.V. accepts no responsibility for any children at the Conference.
Any child at the Conference is prohibited from taking part in any events of the conference after 18:00.
Obey rules of Conduct and the Rules of procedure established by FREIMUN e.V. and enforced by the Conference Secretariat on behalf of FREIMUN e.V. for the duration of the conference. In particular, the Applicant will:
Accept the absolute authority of the conference staff, including but not limited to, chairs, and the Secretariat with their Secretary-General and Deputy Secretary-General.
Unconditionally treat all others present at the conference with dignity and respect.
Any violation of these terms and conditions will result in the immediate removal of the participant from the conference.
III. Refund
With the successful registration, the Participant forfeits any rights to claim a refund for already paid fees, except under extreme circumstances to be determined by the Conference Secretariat, at its sole discretion, and on a case-by-case basis.
In cases where delegates/delegations cannot travel to the conference, FREIMUN e.V. will not be obligated to issue refunds. The delegate/delegation may bring their situation to the attention of the secretariat and FREIMUN e.V. may consider issuing a full or partial refund, provided that their case has been submitted on or before July 10th 2024.
In cases whereby the conference is canceled due to reasons outside the control of the FREIMUN e.V. (e.g. government-mandated measures forbidding large-scale events like conferences), full refunds will not be granted to all delegates and faculty advisors;
IV. Services
Services provided by the Conference prior to and during the conference comprise of:
Informing applicants who have completed their payment no later than 28 days after the registration phase ended if they are accepted as participants at the conference.
Informing the participants in due time about the schedule and changes to it.
V. Liability
The participant waives any and all claims against FREIMUN e.V. involving compensation in part or in whole, of damages or losses incurred in association with travel and accommodation related to participation in the Conference and all activities unrelated to the services detailed in the fourth article of the present terms and conditions.
Notwithstanding anything to the contrary herein, the maximum aggregate liability of FREIMUN e.V. towards any participant in the conference is limited to the total amount that the participant paid to FREIMUN e.V. in order to partake in the conference.
VI. Personal Information and data
The applicant hereby gives their full permission to FREIMUN e.V. to store the following data of theirs: email address, full name, date of birth, place of field and study, phone number, information about MUN experience, motivation letter, and committee preferences for application purposes for the time up to and including the 31st of December 2023. The applicant acknowledges that the stated information about them will be permanently destroyed or anonymized after this date. They may ask FREIMUN e.V. to do so at any time before this date by contacting them by email: vostand@freimun.com.
VII. Ownership
FREIMUN e.V. retains ownership over all material published during the conference. The Applicant waives their right to ownership of any photographic or video materials taken during the conference. The applicant also permits FREIMUN e.V. to use any photographic or video material taken during the conference for advertising purposes on social media, on other online platforms, or to use such material in non-online settings for advertising purposes. This includes the use of any such materials to advertise future conferences, and the use of such materials by sponsors of FREIMUN e.V..
VIII. Final Provisions
The applicable law is German law, as well as the law of the Land of Baden-Würrtemberg.
If any part of these terms and conditions is deemed invalid, the remainder of the terms and conditions remain valid.
